This Privacy Policy explains how Let's Schedule (“we,” “our,” or “the platform”) collects, uses, and protects your information when you use our pet care scheduling platform.

1. Information We Collect

We collect the following information when you create an account or use the platform:

  • Identity: Full name and email address.
  • Contact details: Phone numbers (home, mobile, office), mailing address.
  • Pet information: Pet names, species, breed, weight, birthdate, and notes you choose to provide.
  • Appointment history: Services booked, dates, times, assigned staff, and status.
  • Preferences: Preferred contact method, SMS opt-in status.
  • Account activity: Login events and profile changes (used for security and audit purposes).

We do not collect payment card numbers directly. Any payment processing is handled by a third-party provider and governed by their privacy policy.

2. How We Use Your Information

Your information is used only to operate the scheduling platform:

  • Creating and managing your account.
  • Booking, confirming, and reminding you of appointments.
  • Allowing the pet care business you work with to manage your appointments and pets.
  • Sending transactional emails (confirmations, reminders, cancellation requests).
  • Providing customer support when you contact us.

We do not use your data for advertising, profiling, or sell it to any third party.

3. Cookies and Browser Cache

Let's Schedule uses a small number of cookies strictly necessary for the platform to function:

  • Session cookies: Set when you log in and used to keep you authenticated across pages. These expire when you sign out or your session ends. They do not track you across other websites.
  • Browser cache: Your browser may cache static assets (images, scripts, stylesheets) to make the platform load faster on repeat visits. This is standard web behaviour and contains no personal data.

We do not use advertising cookies, analytics cookies, or any third-party tracking cookies.

4. Data Sharing

Your data is shared only in the following limited circumstances:

  • Your pet care provider: The business whose booking widget you used, or who invited you to the platform, can see your profile, pets, and appointment history. This is necessary for them to provide their services.
  • Infrastructure providers: We use Supabase (database and authentication), Vercel (hosting), and SendGrid (email delivery). These providers process your data on our behalf under their own data processing agreements. They do not use your data for their own purposes.
  • Legal requirements: We may disclose data if required by law or to protect the rights and safety of our users.

We do not sell, rent, or trade your personal information to any third party.

5. Data Retention

  • Active accounts: Your data is retained for as long as your account is active and the associated business uses the platform.
  • Cancelled accounts: When you cancel your account (or a business owner removes your access), your record is soft-deleted and marked for deletion. After a 30-day grace period, your personal data is purged from the system.
  • Appointment records: Historical appointment data may be retained in anonymised or aggregated form for business reporting purposes after your account is deleted.

6. Your Rights

You have the right to:

  • Access: Request a copy of the personal data we hold about you.
  • Correction: Update your name, contact details, and preferences directly from your portal profile, or contact us for other corrections.
  • Deletion: Request deletion of your account and associated data. Use the “Cancel Account” option in your portal, or contact us.
  • Portability: Request your data in a portable format.
  • Objection: Object to any use of your data that goes beyond what is described in this policy.

7. Security

We use industry-standard security measures including encrypted connections (HTTPS), hashed authentication tokens, and role-based access control to protect your data. Access to personal data is restricted to the minimum necessary for each role (client, business owner, employee).

No system is perfectly secure. If you believe your account has been compromised, please contact us immediately at support@nexusblue.io.

8. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date at the top of this page. Continued use of the platform after changes are posted constitutes your acceptance of the updated policy.
